Refund & Cancellation Policy
EFFECTIVE DATE: May 2026
INTRO: At Valley Stone Ranch Land Clearing & Development we want every client to feel confident booking with us. Please read our refund and cancellation policy carefully before submitting your deposit or scheduling your project. By booking our services you agree to the terms outlined below.
1. DEPOSITS
A non-refundable deposit of 50% of the total estimated project cost is required before any work begins or equipment is mobilized. This deposit secures your project date, covers scheduling, and reserves our equipment and crew for your job.
The deposit is non-refundable under any circumstances once equipment has been mobilized to the job site.
2. CANCELLATIONS BY CLIENT
More than 72 hours before scheduled start date: Client may cancel and receive a full refund of the deposit minus a $150 administrative and scheduling fee.
Between 24 and 72 hours before scheduled start date: Client may cancel but will forfeit 50% of the deposit. The remaining 50% will be refunded within 5 business days.
Less than 24 hours before scheduled start date: No refund will be issued. The full deposit will be forfeited. If equipment has already been loaded or mobilized toward the job site the full mobilization fee will also be charged.
Same day cancellation or no show: Full deposit is forfeited and full mobilization fee applies.
3. CANCELLATIONS BY CONTRACTOR
Valley Stone Ranch Land Clearing & Development reserves the right to cancel or reschedule any job due to:

Severe weather or unsafe site conditions

Equipment breakdown or mechanical failure

Emergency circumstances beyond our control
In the event of a contractor-initiated cancellation the client will receive a full refund of the deposit or the option to reschedule at no additional charge. We will notify the client as early as possible if a cancellation or delay is necessary.
4. WEATHER AND FORCE MAJEURE
South Texas weather can be unpredictable. Rain, flooding, extreme heat, or other weather conditions may delay or halt work. Weather-related delays do not qualify for a refund. Work will resume as soon as conditions are safe. Contractor will communicate all weather-related delays to the client promptly.
5. HOURLY BILLING AND FINAL PAYMENT
All work is billed at the hourly rates agreed upon in the project quote. If work is completed in fewer hours than estimated the final invoice will reflect actual hours worked and the client will only be charged for time on site. If the job requires more hours than estimated due to site conditions, hidden obstacles, or factors beyond Contractor's control the client agrees to pay for all actual hours worked at the agreed rates. Contractor will notify the client before exceeding the estimate by 2 or more hours.
Final payment is due upon substantial completion of work before equipment is demobilized from the job site. Failure to pay the balance due on the day of completion may result in additional fees and legal action to recover the outstanding balance.
6. CHANGE ORDERS
Any changes to the scope of work must be agreed upon in writing before additional work is performed. Verbal authorizations for extra work are not binding. Change orders may affect the total project cost and timeline.
7. EQUIPMENT RENTALS
For equipment rental bookings:

Cancellations made more than 48 hours before the rental start time will receive a full refund minus a $75 processing fee

Cancellations made within 48 hours of the rental start time will forfeit the full deposit

Renter is responsible for any damage to equipment beyond normal wear during the rental period

Fuel must be returned to the level it was provided or a fueling fee will be charged
8. DISPUTES
Any disputes regarding billing, refunds, or project outcomes should first be addressed directly with Valley Stone Ranch Land Clearing & Development by calling or texting (956) 274-1624 or emailing valleystoneranch@gmail.com. We are committed to resolving all issues fairly and professionally. If a resolution cannot be reached disputes will be handled in accordance with the laws of the State of Texas in Cameron County courts.
